Privacy Policy

1. Who we are

CoCollab ("we", "us") provides a collaborative platform for condominium buildings. The data controller for the purposes of the EU General Data Protection Regulation (Regulation (EU) 2016/679, "GDPR") can be reached at hello@cocollab.space.

2. Data we process

  • Account data: email address, display name, password hash, and (for Google sign-in) the identifiers Google returns.
  • Content you create: issues, comments, votes and uploaded documents, together with timestamps and your user ID.
  • Owners directory: name, unit, ownership share (‰), and optional email, phone and notes, added by a building admin.
  • Technical data: session cookies strictly necessary to keep you signed in, and standard server logs (IP, user agent, timestamp) retained for security.

3. Why we process it (lawful bases)

  • Contract (Art. 6(1)(b) GDPR): creating your account and providing the service.
  • Legitimate interests (Art. 6(1)(f) GDPR): running the owners directory and shared documents so co-owners can manage the building, and keeping the service secure.
  • Legal obligation (Art. 6(1)(c) GDPR): responding to lawful requests and keeping records where required.

4. Who can see what

  • Issues, comments and votes are visible to anyone visiting the site.
  • The owners directory and uploaded building documents are visible only to signed-in members of your building.
  • Only designated admins can add, edit or delete owner records and documents.

5. Processors and international transfers

We host the service on managed cloud infrastructure (Supabase / Cloudflare). Data is stored in the EU where possible. Where a transfer outside the EEA is necessary, it relies on the European Commission's Standard Contractual Clauses.

6. Retention

Account and content data are kept while your account is active. Server security logs are kept for up to 90 days. On account deletion, your profile is removed and your contributions are anonymised.

7. Your rights

Under the GDPR you have the right to:

  • access your personal data and receive a copy;
  • request rectification or erasure;
  • restrict or object to certain processing;
  • data portability;
  • withdraw consent at any time, without affecting prior processing;
  • lodge a complaint with your national data protection authority.

To exercise any of these rights, email hello@cocollab.space. We respond within one month.

8. Owners listed in the directory

If your details appear in the owners directory and you want them corrected or removed, contact hello@cocollab.space or your building administrator.

9. Cookies

CoCollab uses only strictly necessary cookies (and equivalent local storage) to keep you signed in. We do not use advertising or analytics trackers, so no consent banner is required under the ePrivacy Directive.

10. Changes

We may update this policy. Material changes will be announced in-app or by email.
